Privacy Policy and Terms of Service for Zero-Noise OS.

Privacy Policy

This policy explains how Nordic Knight Ltd collects, uses, and protects personal data in connection with the Zero-Noise OS platform.

1. Who we are

Zero-Noise OS is operated by Nordic Knight Ltd, a company registered in England and Wales (company number: 16301439), with registered address at Berkeley Townsend, Hunter House 150 Hutton Road, Shenfield, Brentwood, England, CM15 8NL (“we”, “us”, or “our”). We are the data controller for account and organisation data, and a data processor for candidate data uploaded to the platform.

2. What data we collect

  • Account data — email address, used for magic link authentication.
  • Organisation data — company name, email domain, associated user accounts.
  • Candidate data — full names, emails, CVs, evaluation notes, interview evidence, hiring decisions. You are the data controller for this data; we process it on your behalf.
  • Usage data — anonymised error logs (Sentry) for platform reliability. No candidate PII in error reports.

3. Legal basis for processing

  • Art. 6(1)(b) UK GDPR — performance of contract.
  • Art. 6(1)(f) UK GDPR — legitimate interests (maintain, secure, improve platform).
  • Art. 6(1)(c) UK GDPR — compliance with legal obligations.

4. How we use your data

  • Authenticate users and manage workspace access.
  • Provide hiring decision features (scorecards, evaluations, shortlists, decision packets).
  • Send transactional emails (magic link sign-in).
  • Monitor platform health (Sentry — no PII in payloads).

5. Sub-processors

  • Supabase Inc. — database hosting and auth (EU data centre). SCCs apply.
  • Vercel Inc. — application hosting (US). SCCs apply.
  • Sentry (Functional Software Inc.) — error monitoring (US). SCCs apply. PII stripped before transmission.

We do not sell data or share it for marketing purposes.

6. Data retention

Account and organisation data retained while account is active. Candidate data retained while the role exists. Deletion on request at info@nordic-knight.com. Permanently deleted within 30 days of account closure.

7. Your rights (UK GDPR)

Access, Rectification, Erasure (“right to be forgotten”), Restriction, Portability, Objection, and the right to lodge a complaint with the ICO at ico.org.uk. Contact: info@nordic-knight.com.

8. Cookies

Strictly necessary session cookies only. No tracking or advertising cookies. No cookie consent banner is required.

9. Changes

Material changes communicated via email. Continued use of the Service constitutes acceptance.

Terms of Service

These Terms govern your use of Zero-Noise OS, operated by Nordic Knight Ltd.

1. Agreement

By using Zero-Noise OS (“the Service”), you agree to these Terms. The Service is operated by Nordic Knight Ltd. If acting on behalf of an organisation, you confirm you have authority to bind that entity.

2. Pilot access

Access is by invitation only. Nordic Knight Ltd may grant or revoke access at its discretion. Pilot pricing is locked for 12 months from general availability. During the pilot: no guaranteed uptime, SLAs, or backup commitments.

3. Your responsibilities

  • You are responsible for all activity under your account.
  • Keep credentials secure; do not share with unauthorised individuals.
  • Comply with all applicable laws including data protection law.
  • You are the data controller for candidate data. You are responsible for candidate consent and your organisation's compliance with employment and equal opportunities law.
  • Do not use the Service to unlawfully discriminate against candidates.

4. Acceptable use

You must not:

  • Use the Service for unlawful purposes.
  • Reverse-engineer or decompile the software.
  • Upload malicious code or rights-infringing content.
  • Process data in violation of applicable law.
  • Resell or sublicense access without written consent.

5. Intellectual property

The Service is the intellectual property of Nordic Knight Ltd. You retain ownership of content you upload. You grant Nordic Knight Ltd a limited licence to process that content solely to provide the Service.

6. Data processing

Where you upload personal data of third parties (candidates), you are the data controller and Nordic Knight Ltd is your data processor under UK GDPR. By using the Service you agree to our Data Processing Agreement. A copy is available on request at info@nordic-knight.com.

7. Limitation of liability

Nordic Knight Ltd is not liable for indirect, incidental, consequential, or punitive damages. Total aggregate liability capped at the greater of: (a) fees paid in the preceding 12 months, or (b) £100. Nothing excludes liability for negligence causing death or personal injury, fraud, or other liability that cannot be excluded under English law.

8. Termination

Either party may terminate with 30 days’ written notice. Nordic Knight Ltd may terminate immediately for material breach. On termination: access revoked, data deleted within 30 days.

9. Governing law

Laws of England and Wales. Exclusive jurisdiction of the courts of England and Wales.

10. Changes

Material changes communicated by email with at least 14 days’ notice.
